Privacy Policy

In the event of any inconsistencies between this English version and Japanese version, the Japanese version shall prevail.
The 98th May Festival Standing Committee (hereinafter referred to as “the Committee”) acknowledges the importance of protecting personal information of users of the services provided by the Committee (hereinafter referred to as “users”). In addition, when the Committee handles personal information, it shall comply with this Privacy Policy (hereinafter referred to as “this policy”).

1. Definition

In this policy, “personal information” refers to “個人情報” (personal information) as defined in the Act on the Protection of Personal Information of the Japanese law (Act No. 57 of 2003, hereinafter referred to as the “Personal Information Protection Law”).

2. Compliance with Laws and Rules Established by the Committee

The Committee shall comply with the Personal Information Protection Law and other relevant laws and regulations when handling personal information in the course of its work. The Committee shall also comply with the “Web System Terms of Use”, as well as “Website Policy” and equivalent rules and guidelines it establishes under this policy.

3. Purpose of Use of Personal Information

The Committee will handle personal information within the scope of the following purposes.

・Identity verification including enrollment check

・Confirmation and management of registered, requested or ordered contents

・Sending messages from the Committee

・Development or improvement of the Committee’s services

・Improvement of other services related to May Festival or the Committee

4. Retention Period of Personal Information

The Committee shall retain personal information only for a period necessary to achieve the purposes, and promptly delete or anonymize the information when the period is over.

5. Provision of Personal Information Within the Committee The Committee may provide the subsequent terms of the May Festival Standing Committee with collected personal information. In such cases, the provided information will be limited to the extent that is necessary for the operation of the subsequent terms. Also, the Committee shall take appropriate measures in accordance with the policy, such as requiring the next term of the May Festival Standing Committee that personal information is adequately protected by the term.

6. Provision of Personal Information to Third Parties The Committee may provide third parties with personal information within the limits of the purposes of handling it mentioned above, after obtaining consent of the user. We may also provide personal information to third parties to the extent permitted by law, without the user’s consent. When the Committee provides personal information, the Committee shall take appropriate actions such as requiring that the personal information is adequately protected in accordance with this policy.

7. Security Control Measures of Personal Information

To properly handle personal information, the Committee shall strive to protect personal information by taking necessary measures, including improving the management system of personal information, educating Committee members, preventing unauthorized access to personal information, and preventing loss, destruction, falsification and leakage of personal information.

8. Procedure for Requesting Disclosure of Personal Information When a user requests disclosure of their own personal information by email or other means, the Committee will respond to the request without delay. However, if disclosure would result in any of the following cases, the Committee may decide not to disclose all or part of the information, and if it decides not to disclose the information, it will notify the user to that effect without delay.

・When the Committee cannot verify the user

・When there is a risk of harming the life, body, property or other rights and interests of the user or third parties

・When there is a risk of significant impediment to the proper operation of the Committee

・When there is a risk of violating laws

9. Procedure for Requesting Correction or Deletion of Personal Information

When a user requests correction, addition, deletion, suspension of usage or suspension of provision to third parties (hereinafter referred to as “corrections”) of their own personal information via email or other means, the Committee will perform necessary investigations without delay. Based on the results of the investigation, the Committee will make corrections of personal information and notify the user to that effect. However, even in this case, the Committee might not make corrections in the contents of personal information based on the provisions of laws, regulations or the like. If the Committee decides not to make corrections of personal information, the Committee shall notify the user to that effect without delay.

10. Cookies

Some pages of the website and the Web System provided by the Committee use a technology called Cookies. You can disable the function of Cookies by customizing your web browser settings. However, if you do so, some web services may not work properly.

11. Privacy Notice for GDPR This paragraph is applied only for the handling of personal information covered by the REGULATION OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC〔General Data Protection Regulation〕(hereinafter referred to as “GDPR”).

11-1 Information Collected

The personal data that the Committee collects from users covered by the GDPR is limited to access logs (IP addresses, Cookies, etc.) collected from websites and other sources.

11-2 Right to Data Portability

One has the right to request that one’s personal data be transferred to persons or third parties they designated.

11-3 Retention Period of Personal Information

Notwithstanding the provisions of paragraphs 4 and 5, personal data collected by the Committee from users covered by the GDPR shall be stored for a maximum period of three years.

12. Continual Improvement of the Privacy Policy

The Committee shall strive to continually review and update this policy to strengthen the protection of personal information and comply with changes in laws and other norms. The Committee shall announce the amendment hereof on the official website or other means.

14. Governing Law and Court of Jurisdiction

Unless otherwise specified, this policy shall be governed by and construed in accordance with the laws of Japan. Unless otherwise specified, either the Tokyo District Court or the Tokyo Summary Court shall have exclusive jurisdiction in the first instance over all disputes related to this policy, depending on the amount of the suit.

The Web System Terms of Use

In the event of any inconsistencies between this English version and Japanese version, the Japanese version shall prevail.

(Purpose)
Article 1
(1) These terms shall stipulate matters of use of the Web System, which the 98th May Festival Standing Committee (hereinafter referred to as "the Committee") provides.
(2) These terms shall apply to the Committee and to those who use the Web System (hereinafter referred to as "users").

(Duty of Users)
Article 2
Users shall observe the following items.
(i)  Check the messages from the Committee on the Web System.
(ii) Maintain the condition where users are able to receive messages from the Committee.
(iii) Correct the registered information promptly if there is any change in the information you have registered on the Web System.
(iv) Take proper precautions to manage passwords and prevent unauthorized access.
(v) When a bug or security hole in the Web System is discovered, do not tell the existence of bugs or security holes to anyone except for Committee members, and promptly report its existence and details to the Committee. However, this shall not apply to the situation where the Committee has already shown workarounds for the problem.
(vi) In order not to be late for deadlines, allow enough time to complete your registrations, requests, and orders (hereinafter referred to as “registrations”).

(Acknowledgement of Terms)
Article 3
By completing registrations as a user, you will be considered to have acknowledged all these terms.

(Suspension of Accounts and Erasure of Project Registration)
Article 4
(1)The Committee may suspend users’ accounts or delete registrations if users intentionally register false content, or if users use the Web System in an unauthorized manner.
(2) Without prior notice, the Committee may suspend the account of users who are suspected to have intentionally registered falsely or used the Web System in an unauthorized manner.
(3) In the cases of the two paragraphs above, the Committee shall notify the user to that effect without delay.

(Subject)
Article 5
(1)The Web System provides service only in Japan.
(2) The Web System only provides service to undergraduate students, graduate students, and research students at the University of Tokyo.

(Environment)
Article 6 Users are encouraged to use the following system requirements:
(i) Recommended OS: The latest version of Windows, the latest version of macOS, the latest version of Android, or the latest version of iOS.
(ii) Recommended Browser: The latest version of Google Chrome, the latest version of Microsoft Edge, or the latest version of Safari.

(Alteration of Registered Information)
Article 7
(1) The Committee may edit what users have registered on the Web System (hereinafter referred to as "registered information"), when necessary, or asked by the user.
(2) The Committee shall notify the user in advance to change the registered information, when doing so is necessary.
(3) The Committee shall immediately notify the user when it edits the registered information without prior notification.
(4) In the case of the preceding paragraph, if the user has any objection to such change, the user shall promptly notify the Committee of such objection.
(5) The Committee shall bear responsibility for any loss caused by the Committee violating paragraph 3.

(Disclaimer)
Article 8
(1) The Committee shall not bear any responsibility for any loss caused by the user’s violation of Article 2 (Duty of Users), Article 6 (Environment) or Article 7-4 (Users notifying the Committee about objections to changes made to the registered information) when using the Web System.
(2) The Committee will not bear any responsibility for any loss such as registration delay when users do not report bugs found on the Web System as referred to in Article 2-(v).
(3) The Committee will not bear any responsibility for any loss caused by troubles besides errors on the Web System itself.
(4) The Committee will not bear any responsibility for any loss caused by the delay of less than 15 minutes of the Web System clock.

(Revisions)
Article 9
(1) The Committee may amend these Terms of Use if necessary, by prior or subsequent approval at the General Assembly.
(2) In the case of the preceding paragraph, the Committee shall notify users of the revision, the revised Terms of Use, and the time of its entry into force by posting the revised Terms of Use on the Web system or by other appropriate means.

(Governing Law and Court of Competent Jurisdiction)
Article 10
(1) Unless otherwise specified, the use of the Web System shall be governed by the laws and regulations of Japan.
(2) Unless otherwise specified, either the Tokyo District Court or the Tokyo Summary Court shall have exclusive jurisdiction in the first instance over all disputes related to the use of the Web System, depending on the amount of the suit.

Supplementary Provision
These Terms of Use shall come into effect on December 15th, 2024 and lapse when the Web System Terms of Use of the 99th May Festival Standing Committee or its substitute comes into effect.

Policies and Guidelines for Use of May Festival Official Image Data

The May Festival Standing Committee provides the University of Tokyo Hongo/Yayoi Campus Map data to projects. We also provide data on the May Festival theme logo and the official mascot “Little May” to projects that request it. In order to prevent the provision of such data from damaging the image of the May Festival or causing confusion among visitors and project members due to misinformation, the Committee establishes the following usage rules and guidelines .

May Festival Official Image Data Terms of Use

These terms are concerned with the use of the design of the May Festival Official Mascot "Little May", the University of Tokyo Hongo/Yayoi Campus Map and the May Festival theme logo (hereinafter referred to as the "May Festival Official Image Data") created and published by the May Festival Standing Committee (hereinafter referred to as the "Committee") and their associated settings. These terms apply to all persons who obtain or use the May Festival Official Image Data.

  1. All copyrights related to the data belong to the Committee.
  2. When using the University of Tokyo Hongo/Yayoi Campus Map for activities during the May Festival, the design and accompanying settings may be used without notification to the Committee. For any other use of the Map, the user, project, and organization must notify the Committee in advance and obtain permission.
  3. When using the “Little May" or the May Festival theme logo, the user, project and organization must notify the Committee of the intended use and obtain permission in advance.
  4. When using the May Festival Official Data, the user, project or organization must adhere to the "Guidelines for Use of Official Image Data of the May Festival" which is provided separately.
  5. If the Committee finds an inappropriate use which violates this guideline, the use of the May Festival Official Image Data may not be approved, and the Committee may order suspension of the use.
  6. The Committee is not responsible for any trouble that may occur as a result of obtaining or using the May Festival Official Image Data.
  7. The Committee reserves the right to change these rules, Guidelines for Use of Official May Festival Image Data, and the contents of the May Festival Official Image Data without prior notice to the users, and users are deemed to have agreed to the latest usage rules when they obtain the May Festival Official Image Data.
  8. These rules will remain in effect until the subsequent Committee announces similar rules in the later years.

Guidelines for Use of Official May Festival Image Data

When using the design of the May Festival Official Mascot “Little May", the University of Tokyo Hongo/Yayoi Campus Map and the May Festival theme logo (hereinafter referred to as the "May Festival Official Image Data") created and published by the May Festival Standing Committee (hereinafter referred to as the "Committee"), and their associated settings, please adhere to the following items.

  1. It may only be used for non-profit purposes
  2. One may not use derivative works based on May Festival Official Image Data for commercial purposes.
  3. No substantial changes may be made to the May Festival Official Image Data.
  4. It may not be recognized as a character or logo of a specific organization or its activities other than the Committee.
  5. The data may not be misidentified as belonging to a specific organization or its activities.
  6. The data may not be used in a way as to spoil the reputation of the May Festival or the Committee in society.

Examples of violations of the guidelines

  • Changing the color or aspect ratio of the image (cropping is allowed).
  • Selling merchandise featuring the May Festival Official Mascot “Little May" or modified versions of the "University of Tokyo Hongo/Yayoi Campus Map".
  • Renaming buildings, areas, etc. on the "University of Tokyo Hongo/Yayoi Campus Map".
  • Using "Little May" as an profile picture on social media.
  • Adding or altering the settings of the Official Mascot.
